How we work

A four-act production method

Every event we produce moves through the same four acts. The discipline is what gives ambitious ideas room to land cleanly on the night.

Act One

Discovery

A two-week immersion where we listen to the brand, the room and the result you actually need from the audience. No PowerPoint, only questions.

Act Two

Concept

A directed creative response — narrative arc, visual world, run-of-show outline and a clear shortlist of suppliers and venues we will move forward with.

Act Three

Production

The longest act. Contracts, fabrication, rehearsals, contingency drills. You will see your event built brick by brick in shared planning documents.

Act Four

Showtime

Curtain up. A senior producer holds the room, our floor team holds the suppliers, and a content unit captures every reusable moment for your post-event kit.

Before you brief us

How early should we engage Ultivex for a corporate event?

For a flagship corporate event or product launch we recommend a 12 to 16 week lead. For smaller activations and private celebrations we have produced beautiful work on a six week timeline when the brief is sharp.

Do you travel beyond Kuching and Sarawak?

Yes. We regularly stage events in Kuala Lumpur, Penang, Kota Kinabalu and Johor. Our core production team is mobile and we work with vetted local suppliers in every city we serve.

How do you handle budgets?

Every engagement starts with a concept fee and a clearly itemised production budget. We do not mark up supplier invoices without disclosure and our pricing model is shared openly during the proposal phase.

Can Ultivex run a hybrid or fully virtual event?

Yes. Our broadcast partners deliver multi-camera virtual stages, audience engagement layers and recorded post-event assets. Hybrid is now part of around a third of the events we stage.

What is the deposit and payment schedule?

A 30 percent retainer secures your date and unlocks creative development. A second 40 percent milestone is invoiced at production lock and the balance is due 14 days before the event.

Do you offer event consulting without full production?

Yes. Some clients only want a senior set of eyes on an internal team. We offer audit packages, run-of-show review and on-call advisory by the day or by the project.

Most of our briefs start with a half-formed sentence and a date in twelve weeks. That is exactly the moment we like to come in.
